KEFREN EXPRES SRL organizes the Express Transporters Conference and, in connection with this, questionnaires, studies, registration forms, and initiatives regarding express transport, the activity of companies in the sector, and the experience of people working in the field — including the Pulse of Express Transport, the Voice of Drivers, and Community Sponsor. The information below applies to all of these.

Participation is voluntary. The responses are used to conduct analyses, statistics, reports, and presentations and are usually published only in aggregated form. We do not publish individual responses in a format that allows the direct identification of the respondent or the company.

Depending on the study, we may request information about activity, role, country, or other elements necessary for the analysis. Some studies may also request a company identifier to avoid duplicate responses or an email address for contact, should the participant choose to provide it.

For some studies, we do not ask for your name. For the „Voice of Drivers”, for example, we do not request the driver’s name or the employer’s name in the analyzed responses; if you wish to receive the results or future invitations, you can separately provide an email address. For studies about companies, such as the „Pulse of Express Transport”, we identify the company by its tax code so as not to count the same firm twice.

For registration forms and initiatives organized within the Conference, we request the data necessary to identify the company and contact the registered person. From the companies that effectively benefit from participation, we may request documents to verify the announced conditions. For these initiatives, we may publicly communicate the name of the beneficiary companies and the granted participation; we do not publish contact details, nor do we publish the list of registered companies.

Email Address For studies, the email address is optional. We request it at the end only if you wish to receive the study results, which are sent to you in aggregated form and without individual data. After sending the results, we delete it, unless you have separately chosen to be notified about future studies. We do not use it to identify your responses and do not share it with sponsors or partners.

For registration forms and initiatives organized within the Conference, such as Community Sponsor, the email address is necessary: without it, we cannot contact you if your company is selected as a beneficiary. Even for these initiatives, the address is not shared with the sponsor.

What Sponsors and Partners Receive For questionnaires and studies, sponsors and partners do not receive the raw database of responses, participant identifiers, or email addresses. They may only have access to aggregated results.

Registration for the Conference is different, and this must be stated clearly. Sponsors and partners receive, after the event and according to their contracted package, the list of participating companies, which includes the company name and the email address provided upon registration. We do not transmit the person’s name, job title, or phone number. The purpose is professional networking among the companies present at the event. If you do not want your data included in this list, you can tell us upon registration or at any time at expres@kefren.ro, and your data will not be shared. Sponsors and partners are themselves responsible for how they use this data after receiving it and have a contractual obligation not to transmit it further.

For initiatives organized within the Conference, such as Community Sponsor, the sponsor does not receive the list of registered companies and does not participate in verifying eligibility or selecting beneficiaries. Only the name of the beneficiary companies and the granted participation are publicly communicated.

Data may be processed through technical providers headquartered outside the European Economic Area. In these cases, the transfer is made based on standard contractual clauses approved by the European Commission or an adequacy decision by the European Commission.

Study responses are kept for a maximum of 3 years. Data used exclusively for deduplication is kept for a maximum of 12 months after the study closes. Contact details provided to receive a result are deleted after the purpose is fulfilled, and those provided voluntarily for future communications are kept until the withdrawal of consent or a maximum of 3 years. Data from registration forms is kept until the end of the initiative and at most 12 months thereafter, while documents justifying the granting of a participation are kept for 3 years. Participant data for the Conference is kept for organizing the current edition and for communicating the next edition, for a maximum of 3 years.

Processing necessary for organizing and analyzing studies, as well as administering initiatives and granting participations, is based on the organizer’s legitimate interest in knowing the market in which it operates and being able to prove the fairness of the procedures. The transmission of the participating companies list to sponsors and partners is based on the legitimate interest of professional networking among the companies present at the event, a purpose announced upon registration; you can object at any time, and your data will not be transmitted. Subsequent optional communications are carried out based on the participant’s expressed consent.

Photos and Video Materials at the Event Photos and video recordings are taken during the Conference. These are used to document the event and promote future editions: they may be published on the Conference website and communication channels, included in the event’s presentation video, and made available to partners to communicate their own participation. They are kept in the Conference archive.

Processing is based on the organizer’s legitimate interest in documenting and promoting the event. If you do not wish to appear in the published materials, you can inform us at the on-site registration, tell the filming crew, or email us at expres@kefren.ro, and the images in which you appear identifiable will not be published. General overview photos of the hall, where individuals are not singularized, may still be used.

Your Rights: You have the right to access, rectification, erasure, restriction of processing, and, for data processed based on expressed consent, data portability. You have the right to object to processing based on the organizer’s legitimate interest for reasons related to your particular situation. Consent can be withdrawn at any time without affecting prior processing.
